How To Send Emails Automatically In Airtable

In this article, you will learn how you can Send Very Personalised Emails Automatically In Airtable based on a certain condition. It can be useful in many different scenarios. For example, sending welcome emails to new users or sending a thank you note to your customers after a purchase or for feedback. You just need a condition that will trigger the email-sending action.

For this example, I will be sending emails to new users as welcome emails. First, let's have a look at our current table. In this example, I have only one table for users, and each time a user joined, I will send a welcome email. In this table, we have an email field, a name field, and a country field. We will use email and name in our email automation.

Let's understand the process...

Email Automation Process Explained:

• Whenever you want to send an email, you need a trigger or condition which will basically trigger the automation.
• For example, when a record is created or updated or a certain condition is met: an example could be 'when the country field is not empty.
• Then you need a template of an email that you would like to send in case you want to send an HTML customized email.
• You also need a Gmail account like Gmail or outlook, both work depending on your needs.

Steps to implement email automation

1. Click on the automation option on the top right corner of the base
2. Then select 'Create a custom automation'
3. Now you need to select the trigger for the automation. In this example, I am setting 'When a record is created as a trigger.
4. Then select G-mail or Outlook
5. Setup your mail account, Basically log in to your mail account and give Airtable access to it.
6. In the 'to' section, you need to select the email id of the new user which you can add by clicking on the plus icon available on the right side.
7. Enter the subject of the email.
8. And finally add the text that you want to send. Here you can choose plain text or HTML text.
