When working with an inventory base, it is important to track when the quantity of a certain product falls below a certain threshold. This is very useful to be sure that inventory is replenished in a timely manner.
A good initial approach is setting up the Airtable fields to track for the low inventory quantity. We can do this by creating three fields:
The first way to keep track of the products that have dropped under the treshold is to have an ad-hoc view which is filtered to show only the products that have the missing column showing a value higher than 0. This is very visually appealing as at any point in time you can just go to this view and check which products should be replenished and by how much
A second approach is to create a colour coding system so that all products with a value in the Missing column higher than 0 are flagged in red. This is a very good system if you love to have things colour coded and do not have many records in your base (with several records, the ones flagged in red can easily get lost among the others and an ad-hoc view may be preferrable).
When a wedding is ready, it is useful to create the relevant google calendar invites for its events so that the timeslots are booked for the wedding couples, and we make sure that they are notified about their appointments.
Scripting can be an important asset that allows us to perform such automations. For example, thanks to the script below we can, by clicking on the “Ready for Booking” button connected to the specific wedding, flag all the connected events with the “Book in Calendly” check.
This will then trigger a simple, native Airtable automation that creates the Google Calendar event for the wedding couple.
When a product falls under the threshold you may also want to notify the relevant employee so that he can act on the problem and readjust the inventory. To accomplish this, Airtable email automations are a great tool as they allow you to send him an automatic email right after a product falls under the threshold.
